2.Scope of this policy
This policy covers two distinct contexts:
- Our website — information from visitors who browse the site or book a call with us.
- Our services — information processed when we operate AI agents on behalf of a business client. For that client data, we generally act as a service provider / processor on the client’s behalf, and the client’s own privacy notice and our service agreement govern the details.
3.Information we collect
Information you give us
When you book a demo, we use Calendly to schedule the call. Through that booking you may provide your name, email address, phone number, and any details you choose to share. If you email us, we receive your message and contact details.
Information processed through our services
When we run an AI agent for a client, the agent may handle communications from that client’s customers and prospects. Depending on the configuration, this can include names, phone numbers, email addresses, the content of calls and messages, scheduling details, and information synced with the client’s CRM or calendar.
Information collected automatically
Our website does not use advertising or analytics tracking cookies. Our hosting provider may keep standard server logs (such as IP address and request time) for security and reliability.

- To respond to inquiries, schedule and conduct demo calls, and provide our services.
- To build, voice, deploy, and continuously improve AI agents configured for each client.
- To route qualified leads, log interactions, and integrate with the tools a client has authorized.
- To maintain security, prevent abuse, and comply with legal obligations.

We do not sell personal information. We share information only as needed to operate our services, with trusted vendors (“subprocessors”) acting on our instructions. Depending on the service, these may include:
- OpenAI — language and real-time voice processing
- LiveKit — real-time voice transport
- mem0 — agent memory
- Resend — transactional email and message delivery
- Google — calendar and email integration, where authorized by a client
- Calendly — demo scheduling
- GoHighLevel — CRM and workflow automation
- Hosting provider — secure hosting of our infrastructure
We may also disclose information if required by law or to protect our rights, users, or the public.
7.Our role with client data
When we process information on behalf of a business client, we do so under that client’s instructions and our service agreement. The client is responsible for having a lawful basis to collect and process their customers’ information and for providing required notices and consents. A separate data processing agreement may govern these responsibilities.
8.Data retention
We keep information only as long as needed for the purposes described here, to provide our services, and to meet legal, accounting, or security requirements, after which we delete or de-identify it. Retention for client data follows the applicable service agreement.

We use reasonable technical and organizational measures — including access controls, encryption in transit, and secrets management — to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on where you live, you may have rights to access, correct, delete, or limit the use of your personal information, and to opt out of certain processing. California residents have rights under the CCPA/CPRA, including the right to know, delete, and correct, and the right not to be discriminated against for exercising those rights. To make a request, email info@apertureautomations.ai. If your information was processed on behalf of one of our clients, we will direct your request to that client.

Our website and services are intended for businesses and adults. They are not directed to children, and we do not knowingly collect personal information from children.
